Your Opportunity

We are seeking an experienced Executive Assistant/ Legal Team Assistant to join our dynamic legal and company secretariat team reporting to and providing high level executive and administration support to the General Counsel & Company Secretary.

You will be working with and a part of an experienced and friendly team.

Your key responsibilities will be to:

  • Provide high level executive support to the General Counsel & Company Secretary
  • Management and oversight of incoming and outgoing correspondence of the General Counsel & Company Secretary including phone calls and diary management
  • Provide administration and secretarial support (including arranging interstate travel) to the General Counsel, Governance Officer and other team members as required from time to time
  • Maintain collaborative relationships with internal stakeholders across all levels including Board Members and other EAs 
  • Produce a range of documents and material to support the General Counsel and Governance Officer  
  • Liaise with the broader EA team to navigate complex calendars for Executives and Board Members for meetings
  • Coordinate Board and Committee meetings including organising logistical arrangements and timely distribution of papers with support of the EA team
  • Assist with creating monthly Executive Reports and other key documents

Requirements for Success

  • Experience as an Administrative Assistant or EA preferably to a Company Secretary
  • Excellent written and verbal communication skills
  • Ability to interact well with all levels of the organisation including board members
  • Strong organisational and planning skills
  • Experience in coordinating complex diaries, appointments, agendas and travel arrangements
  • Ability to set priorities, plan work programs and meet deadlines
  • Advanced skills in the use of the Microsoft Office Suite including PowerPoint and Excel
  • Experience with accounts payable systems/activities and petty cash processes
  • Ability to competently use the online Diligent Board portal
